Best Email Scheduler For Your Business Needs

Image source: Emma Matthews Digital Content Production @Unsplash

An email scheduler is most commonly an app that complements some of the most popular email clients, such as Gmail, Outlook, Yahoo, and GMX. It can be a separate tool that helps you set up email scheduling options for an email service that doesn’t have them. It can also introduce more extensive solutions, like recurring messages and email tracking. Other email schedulers are add-ons for your email clients. You can use them within your favorite email service via a special menu.

Some email clients have a scheduling feature by default. If the one you are using doesn’t, you can use an email scheduler app to improve your email marketing efforts.

Scheduling is an important practice because it makes your marketing strategy consistent. You need to build a relationship with your clients by providing them with valuable content continually. By regularly educating them, helping them, entertaining them, and offering them fantastic products and services, you can earn their trust and loyalty. At that point, they’ll have expectations of you, and you can keep meeting them with every timely email.

Let us take a look at how you can schedule your emails in some of the most used email clients, including:

  • Gmail

  • Outlook

  • Yahoo

  • GMX

How to Schedule an Email in Gmail

The Gmail email scheduler feature has been introduced in 2019. It has been added to both the web and mobile versions of the popular email client. The process of scheduling your emails is fairly simple.

Scheduling an Email Via the Gmail Web Client

To schedule emails with the web client, you need to:

  1. Click on Compose

  2. Enter an email address and write your email

  3. Look for the Send button and click on the down-pointing arrow next to it

  4. Choose one of the options in the pop-up window

  5. Click on Pick date & time if none of the given options suit you

  6. Click on Schedule send

When you’re finished setting everything up, you can find all your scheduled emails by clicking on the Scheduled bar in the navigation menu on the left.

Scheduling an Email Via the Gmail Mobile Client

The way to schedule emails with the Gmail mobile client is mostly the same as with the web app. You need to:

  1. Tap the Compose button

  2. Enter an address and write your email

  3. Tap the three dots in the top right corner

  4. Select the option to Schedule send

  5. Choose from one of the same presets as in the web client, or tap Pick date & time and set your preferred options manually

  6. Tap the Schedule send button

To get more extensive options, such as recurring emails, you can try out the Email Scheduler for Gmail add-on. It enables you to schedule messages within Gmail with the help of a Google spreadsheet. You’ve got two options:

  • With the free version, you can set up recurring messages based on spreadsheet scripts

  • With the paid version, you can also track your emails. The pricing ranges from $25 to $270

How to Schedule an Email in Outlook

If Outlook is your preferred ESP, you can schedule your emails in two ways — by using the Outlook web client or the desktop app.

Scheduling an Email With the Outlook Web Client

To schedule emails in the Outlook web client, you’ve got two options. Microsoft has recently added a simple feature for sending your email at a more convenient time. If you want more advanced scheduling options, you need to get Boomerang for Outlook.

To use Microsoft’s default scheduling feature, you should:

  1. Click on New message

  2. Compose your email

  3. Click on the down-pointing arrow next to the Send button

  4. Set up the desired date and time

If you want Boomerang’s more extensive options, you need to:

  1. Go to the Boomerang for Outlook website

  2. Click on the Get it now button in the left navigation menu

  3. Sign in to Microsoft App Source by entering your Outlook email address

  4. Go to your Outlook.com

  5. Click on Add in the Boomerang pop-up menu

When you’re done setting up Boomerang for Outlook, you can move on to scheduling your email:

  1. Start creating a new message

  2. Click on the three dots in the top-down navigation bar

  3. Select Boomerang from the drop-down menu

  4. Click on Open Boomerang

  5. Allow Boomerang full access to your Outlook web app

You can select one of the options in the Boomerang drop-down menu or open the Boomerang sidebar with additional features.

With Boomerang for Outlook, you can use features such as:

Boomerang for Outlook

Send Later

Schedule your email based on one of the templates, or set up the date and time yourself

Schedule Recurring Email

Schedule an email that is going to be sent periodically according to your settings

Read Receipt

Get a confirmation email as soon as the recipient opens the email you sent them

Remind Me

Receive a reminder if there is no response to your email after a set amount of time

Respondable

Use Outlook’s AI to help you write an email that will perform better

Scheduling an Email With the Outlook Desktop App

The Outlook desktop app comes with an in-built scheduling feature. To use it, you need to:

  1. Compose a new email

  2. Click on Options in the top navigation bar

  3. Choose More Options in the drop-down menu

  4. Click on Delay Delivery

In the Delay Delivery pop-up menu, you can schedule your email. Go to the Delivery options, click on Do not deliver before, and set up the desired date and time. Once you’re done, click Close and then Send. The email will be delivered at the time you’ve set up.

How to Schedule an Email in Yahoo Mail

Yahoo Mail doesn’t have a scheduling feature and is no longer supported by Boomerang. You have to find an alternative solution.

You can create an account on Later.io and use the service’s scheduling options for Yahoo. With the free version of the service, you only get to send ten emails per month. To get more, you have to subscribe to one of the paid plans, ranging from $3.33 to $83.33 per month.

You need to create a Later.io account with the email address you want to use for sending scheduled emails. Verify the email, and you’re good to go. You need to:

  1. Click on the Compose button in the Emails dashboard

  2. Set up the date and time when you want the email to be sent

  3. Choose whether you want it to be a single or recurring email

  4. Click on Commit

Once you’re finished, you’ll be able to see the list of all your scheduled emails.

How to Schedule an Email in GMX

GMX doesn’t have any complementary email schedulers. It comes with its default email scheduling feature. You need to:

  1. Compose your email

  2. Click the clock icon next to the Send button

  3. Set up the date and time

  4. Click the OK button to confirm

You can see the scheduled time next to the clock icon. Keep in mind that GMX keeps scheduled emails in the outbox. If you need to reschedule the mail, click on the clock icon and look for the Change sending time option.

What are Autoresponders and Why You Should Use Them

There is a vast assortment of modern email marketing software that provides extensive features, among which you can find email scheduling. The idea is to combine multiple marketing efforts into a unified platform that enables you to perform a variety of actions and track their results from the same place.

If you’re not satisfied with the features of email clients and complementary email schedulers, you should opt for a better option — autoresponders.

Autoresponders are essential tools for almost every successful marketing campaign because most of them do much more than just enable you to schedule emails. You can use them to automate large chunks of the marketing process. Some of them provide you with campaign creation features, enabling you to send your emails and newsletters to a segmented target audience automatically. Whenever a subscriber performs a particular action, or a specific event happens, the autoresponder will send out the email you’ve tailored accordingly. Since timing is essential, you can schedule every:

  • Newsletter email

  • Welcoming email

  • Special offer email

  • Confirmation email

  • Announcement email

  • Invitation email

  • Milestone email

  • Abandoned car email

  • Progress email

  • Review request email

Autoresponders can perform a variety of actions to help you improve your marketing campaign, including:

  1. Turning website visitors into subscribers

  2. Generating repeat sales

  3. Developing a strong relationship with your audience

  4. Providing a quick follow-up

  5. Leading users to your best content

  6. Helping you get measurable results

  7. Minimizing expenses

  8. Ensuring better email deliverability

  9. Boosting brand awareness

Turning Website Visitors into Subscribers

An autoresponder is a perfect connection between your website and an email campaign. One of the most effective ways to engage with website visitors is to present them with an enticing offer in exchange for their email address. Give them something valuable and relevant, such as a free trial of your most prominent product. If they know they can gain from it, they will give you their email willingly. Once they do, the autoresponder can regularly send them relevant emails with helpful information and fantastic offers.

Generating Repeat Sales

When a visitor subscribes to your mailing list because they want to do business with you, they probably don’t want it to be a one-time thing. They will want to receive updates on new offers regularly. An autoresponder can ensure that they receive your newsletters, special offers, and announcements at opportune times.

Developing a Strong Relationship With Your Audience

An autoresponder can do much more than a simple email scheduler. Next to receiving your emails frequently, your contacts can get them as a response to a specific action they take — like clicking on a link or subscribing to your mailing list. You can personalize and optimize the responses so that a particular customer gets them on a specific day — such as their birthday or an anniversary of their relationship with your business. Many autoresponders can help you fulfill client expectations in different ways.

Providing a Quick Follow-Up

Every valuable interaction with a user requires a top-notch follow-up. The problem is that it is difficult to keep up with everyone if you are doing it manually. An autoresponder can always send a timely message that will nurture your connection with every member of your target audience.

Leading Users to Your Best Content

Every contact that subscribes to your mailing list should get your top-notch content. You can set up your autoresponder to send an email whenever someone takes an action that implies interest. The email should inform users about where they can find what they are looking for. This could be your blog, product page, YouTube channel, social media profile, etc. Use the autoresponder to create the perfect user experience and customer journey.

Helping You Get Measurable Results

Another essential feature that many autoresponders have is reporting. You can get an overview of the results of your marketing efforts in the form of crucial metrics. These numbers can help you improve various aspects of your marketing campaign. You can learn which piece of content worked the best, when and how often your users prefer to receive emails, what kind of information is seen as the most interesting, where the best place for your CTAs is, etc.

Minimizing Expenses

An autoresponder tool’s primary asset is automation. This means that you don’t need to spend as much time and money trying to get a hold of and maintain communication with every single member of your audience. Instead of hiring more people to implement a variety of marketing tactics, you can use an autoresponder to send your best content and offers continually, and get a significantly better ROI.

Ensuring Better Email Deliverability

Deliverability is one of the most important aspects of your email marketing campaign. If the emails aren’t reaching your contact’s inboxes, all your other efforts are fruitless. Most autoresponders enable you to segment your audience and provide you with a deliverability score for every email. This can help you further improve your contact lists and optimize your email content to pass the spam filters of various ESPs.

Boosting Brand Awareness

Every email that your autoresponder sends should contain your logo, tagline, address, phone number, and any other information that is relevant to your brand. That way, every time someone receives your email, your brand awareness will grow. If your primary email marketing asset is a newsletter, you can make it shareable, so that even more people learn about you and possibly subscribe to your mailing list.
